Buying the box does not finish the job
Software enters an office in three ways. One is a purchased licence. One is a trial that was forgotten. One is a copy a person installed themselves. All three look like the same icon on the desktop. They split in an audit and in an update.
An original licence keeps the maker’s update and support path open. A closed copy runs for a while, then activation or a security update stops. That day the accounting or design file will not open.
The right model
Microsoft 365, Windows, Windows Server, Adobe and CAD are not chosen from the same shelf. Who will use it, whether the count is per device or per user, and whether the invoice is monthly or yearly is written in the quote. Scope is written instead of inventing a list price on the page.

Installation day
A licence key does not travel in chat. Installation is done with an authorised account; the activation record is kept. If an app bought on a personal store account stays on a company device, the software leaves when the person leaves.
The yearly renewal date is put on the calendar. A security product whose term ended is not left because “it still works”. Renewal is a planned line, not a surprise invoice.
Who has which software
When a licence is bought, the box count and the installed count are separate. Ten boxes may have been installed on fifteen computers. Or ten boxes sit and six were never opened. Both are looked at once a year. Extra installs are risk; extra boxes are waste.
Staff may treat an app they loaded from their own store as a company licence. At exit that account closes and the file will not open. If the install list sits in inventory, that surprise shrinks.
